Job Purpose
To contribute to the operation and administration of the Fáilte Ireland Climate Action team.
Job Description
Primary Objectives/Key Responsibilities
Strategic
Support the Business Units team in these areas:
Implementation of new and existing systems processes & polices.
Implementation and integration of the Business Units’ requirements on the Fáilte Ireland Trade Engagement Database (TED) including the associated design, development, and user acceptance testing (UAT) work.
Operate corporate financial and procurement processes for the Business Units and other Programmes as and when required within the Division.
Supporting the sector to recover and grow back bigger and better
GDPR Compliance
Work cross-functionally with other teams and stakeholders
Operational
Responsibility for all Team general administrative duties e.g., e-mail enquiries, recording and distributing meeting minutes, proofing documents.
Support the administration relating to new and existing systems, processes & polices.
Responsibility for regularly updating of the Fáilte Ireland suite of websites
Support and deliver the collection and maintenance of records of the division’s activity, with a particular emphasis on ensuring all activity is captured accurately and in a timely fashion on the TED (CRM) system.
Represent where appropriate the Business Unit at internal and external events.
Provide logistics support for and attend meetings/workshops/events with internal and external stakeholders e.g., by setting up venue, organising room layout, booking accommodation, dealing with the invitees.
Ensure all procurement and purchasing is in line with Fáilte Ireland policy.
Manage all finance-related processes e.g., Administering budgets, payments, purchase orders, invoices, and reports
Competently use and generate relevant reports through all appropriate systems and PowerPoint presentations for review by Manager / Head of Division / Director
Manage collateral database and ordering system(s)
Ensure that project metrics and updates are available in an agreed format for Management Authority Committee (MAC) and senior management teams.
Update all business plans and project dashboards, detailed and high-level plans, resource plans, reports as required.
Support team on initiatives as required.
A willingness to assist cross divisionally as appropriate.
Carry out all other duties as required and participate as a full member of the Climate Action team by supporting different work projects, as required, from time to time.
Person Specification
Successful candidates will have knowledge and experience of sustainability and climate action, the national accommodation supply and tourism and hospitality in Ireland. They will work cross-functionally with other teams and stakeholders and will also be able to demonstrate strong relationship management skills.
Essential Criteria
Strong office management and administration skills
Evidence of strong communication and interpersonal skills with the ability to communicate effectively both orally and in writing
Evidence of strong organisational and time management/planning skills and the ability to prioritise work and meet deadlines
Strong proficiency in IT systems
Meticulous attention to detail when preparing documents
Evidence of proactive activity/self-starter
In order to be eligible to apply for this role you must have / demonstrate in your application form the following
A minimum of 2 years’ experience in an administrative support role which utilised strong office administration skills
Experience in working in project-based activities
Previous experience in working with stakeholders
Experience in using CRM databases and finance systems
Qualifications/Mandatory Training
A professional qualification (minimum Level 6 under the QQI Framework) in a related discipline is essential
Desirable Criteria
Experience in the tourism sector, with an understating of the Accommodation sector would be an advantage
Experience in administering a reporting / analytics platform, and liaising with external suppliers to resolve technical and non/technical system queries
A passion for and experience working in the area of sustainability, climate action, and data analysis
